At the end of March I visited a certain highly-regarded university, on their dime. A few weeks later I let them know that I would instead be attending a different school. I am still waiting to be reimbursed for the trip. I have been in email contact 4-5x with the department secretary (who has not gotten back to me in over a week) who keeps telling me that it is “in-process”. Potential complications: (1) the department head who has to approve the reimbursement was my prospective advisor and I do not think he took it well, and (2) my current and continuing boss (I will be working part-time during school in lieu of an assistantship) is on the advisory board for said department.

Has anyone had reimbursement take this long (~2 months)?

My next step is to contact the department head directly and ask for assistance with this. Any other suggestions?

Any suggestions on what I should do if they do not pony up?

Resubmit expenses by sending in copies of all receipts to the department’s contact person again. Send the packet with an accompanying letter by registered mail requiring a signature. Be calm and patient.

These reimbursements generally have to be submitted through the school, and there’s a lot of red tape involved. Check reimbursements through the hospital where I work regularly take at least 6 weeks, and one of the grad students in my lab didn’t get reimbursed for conference travel expenses for six months.

If you’re confident that all of your documents are in the proper hands, I would just sit tight and wait.
